Training and Technology Implementation  Q&A

Q: How long does the migration process take?

While the actual migration activity itself takes about 48 hrs to complete, the entire process from start to finish takes 2 - 3 months depending on complexity. This timeframe includes initial consultation and requirements gathering, liaising with 3rd party vendors, setting up the new environment and training your staff.

Q: What will our organisation have to do as part of the migration?

There are a lot of moving parts in a technology change and our team have an established delivery plan that we work to. At certain points in the process you will be asked to provide information, make decisions, test the system and communicate to staff. For all these actions you will be provided with templates, checklists and guidance to simplify the task. To progress this work we use the same collaboration tools that you'll get with your new environment, allowing you to become familiar with the tools while keeping track of progress.

Q: What will the impact be for our administration staff?

There are two different types of administrator - your organisation's admin person, and the person you nominate as your Microsoft 365 system administrator. These can be the same person if that makes sense for your organisation, but doesn't have to be. Depending on how you assign work, during the migration process there will be tasks to collate information about devices, users, security settings and files. There will also be testing activities and coordination of staff to attend training. This is a short-term impact and you should address this as part of your workload planning.

After migration the impact depends on which managed service package you sign up to. With our Premium package we will manage user accounts, housekeeping tasks and security alerts for you. With our Standard package your designated 365 Administrator will be required to perform these tasks (after receiving training). If you have a lot of staff turnover or process change in your organisation then the ongoing workload for the administrator will be increased. For both packages your nominated Microsoft 365 administrator will have full support from the Community IT Helpdesk to assist them through any challenges.

Q: How much training do staff get when we migrate?

We offer all general users a 2-hour training session to upskill them in working in Microsoft 365, and the nominated Microsoft 365 Administrator will receive an additional minimum of 2 hours dedicated training for their specific role.

Q: What if some of our staff are unavailable for training?

All training is supported by written material that is published online and can be accessed by your staff as needed. We are currently building a suite of training videos to complement this. For the 2 weeks after migration we are able to schedule additional training as needed for staff who were away pre-migration. If you choose the Premium package then ad hoc group training remains available ongoing so staff can upskill or refresh their knowledge at any time. Just give us a call and discuss your needs with us.
